Job description
Reporting to the President and CEO, the incumbent plays an important support role in program delivery and the management of certain administrative files.
Main responsibilities
Program delivery support
- Support program coordinators in the ordering, inventory management and delivery of educational materials to schools, and ensure the necessary follow-up;
- Maintain an up-to-date list of schools;
- Sort and enter data in Excel (registrations, surveys, consents), and keep them up to date;
- Support coordinators in recruiting schools and volunteers;
- Support coordinators in organizing youth activities;
- Prepare requested reports and complete reporting tables;
- Send e-mails to schools to promote our programs;
- Follow-up calls to school contacts to invite them to host our free programs in their classrooms;
- Take notes during meetings with center managers and write up minutes;
- Occasionally visit schools or centers to ensure that activities are running smoothly;
- Carry out any other related tasks requested by general management.
Administrative support
- Take calls, manage mail and deliveries to the office as well as e-mails;
- Take ownership of data entry software and ensure its sound management;
- Responsible for updating Excel lists for import into a new data entry database;
- Manage inventory (stationery);
- Improve/implement an efficient filing system for internal administrative files and archive management;
- Prepare requested reports and complete follow-up tables;
- Prepare agendas for team and committee meetings, and take notes;
- Actively participate in JA Québec meetings and activities;
- Work in collaboration with team members;
- Perform any other related duties as requested by general management.
Skills
- Secretarial, administrative, office automation training or equivalent work experience;
- Experience relevant to the position;
- Fluency in spoken and written French and English;
- Very good knowledge of the Office suite;
- Ability to establish good interpersonal relations;
- Dynamism, determination, rigor, team spirit;
- Self-reliance and resourcefulness;
- Concern for the quality of data input;
- Adaptability and flexibility;
- Understanding of the context and challenges of an NPO;
Working conditions
- Permanent position, 35 hours per week;
